Privacy Policy
Effective date: June 18, 2026
This page explains what information BatesNumbers collects, how we use it, how long we retain it, and the steps we take to protect uploaded files, generated outputs, and account data.
Information we collect
We collect information you provide directly, along with limited technical and operational data needed to run, secure, and improve BatesNumbers.
- Account information, such as your email address and related account security metadata.
- Information you submit through forms, such as support inquiries or waitlist requests.
- Uploaded files, ZIP archives, job configuration details, and generated output files created through the service.
- Operational and diagnostic metadata, such as IP address, browser type, device information, timestamps, file size, and job status.
How we use information
We use collected information to operate BatesNumbers as a secure, reliable Bates numbering service built for legal workflows and document production.
- To create and manage accounts, authenticate users, and maintain access to the service.
- To process uploaded files, generate previews and outputs, and preserve job history where applicable.
- To process files through automated systems without manual review as part of normal operation.
- To send service-related communications, such as verification, password reset, billing, and job notices.
- To monitor performance, troubleshoot issues, detect abuse, and protect the platform.
- To improve the product, user experience, and operational reliability.
File handling and retention
BatesNumbers is designed for processing, not long-term document storage.
Uploaded files and generated outputs are automatically removed according to your plan’s retention settings. Retention periods can vary by plan, account type, and selected retention options, so you should review your current plan details for the retention period that applies to your files and outputs.
You can also delete uploaded files and generated outputs yourself after processing when those controls are available. Once content is deleted, it cannot be recovered through the dashboard.
Some account, billing, support, security, diagnostic, and operational records may be retained separately for legitimate business, legal, security, tax, accounting, fraud prevention, or compliance purposes.
Sharing and disclosure
We do not sell your personal information. We share information only when needed to operate BatesNumbers or when required by law.
- We may use third-party providers for infrastructure, hosting, storage, analytics, and email delivery.
- Those providers process data only as needed to deliver their services to us and are required to protect it appropriately.
- We may disclose information in response to legal process, lawful requests, or when necessary to protect our rights, users, or the security of the platform.
Security
Files are transmitted using encrypted connections (HTTPS/TLS) and stored using industry-standard encryption at rest.
Document processing is primarily automated and not manually reviewed as part of normal operation.
Access to files is limited to authorized systems and may occur in rare cases for support, troubleshooting, or abuse prevention.
No system or method of transmission is completely secure, so we cannot guarantee absolute security.
Your choices
You may choose not to provide certain information, but some features of BatesNumbers may not work without it.
You may also delete uploaded files and generated outputs from your dashboard when those controls are available, or contact us with questions about your account or data.
Policy updates
We may update this Privacy Policy from time to time to reflect product changes, legal requirements, or operational practices. When we do, we will update the effective date on this page.
